Once a portfolio grows beyond one apartment, the issue is no longer remembering rent dates. The issue is knowing net cash flow by asset and spotting declining performance early.

Track at least four data groups: expected rent, collected rent, operating costs, and debt service. A portfolio-level total can hide a property whose repairs are rising every month.

ViBDS recommends reading cash flow by month, property, and contract so investors can decide whether to adjust rent, restructure costs, or inspect a property first.
